Privacy Policy

How Rinkal Fragrance collects, uses and protects your personal information when you shop with us or contact us through this website.

Effective and last updated

01Introduction and scope

This Privacy Policy explains how we collect, use, share and protect personal information when you visit this website, create an account, place an order, or send us an inquiry or message.

It applies to information collected through this website and in our related communications with you. It does not cover third party websites that we link to, which have their own privacy policies.

By using this website, you acknowledge that you have read this policy. Where we rely on your consent, we ask for it separately, for example through a checkbox on a form.

02Who we are

This website is operated by Rinkal Fragrance (referred to as “Rinkal Fragrance”, “we”, “us” or “our”). We are responsible for the personal information described in this policy.

Our contact details are listed in Contact and grievances.

03Information we collect

We collect only the information we need to run the website, fulfil your orders and respond to you.

Information you give us

  • Contact and delivery details: your name, email address, mobile number and delivery address, and a GSTIN if you ask for a business invoice.
  • Account details: if you create an account, your name, email address, mobile number, a password and any addresses you save. Passwords are stored only as a secure one way hash, never in readable form.
  • Order details: the products you buy, quantities, prices, taxes, shipping charges, order notes and your order history.
  • Inquiries and messages: details you send through our contact, wholesale, dealer or private label forms, such as your company name, city, requirements, messages and any files you choose to upload.
  • Support and claims: information you share when you contact us, including photographs or videos sent with a damaged or missing item claim.
  • Newsletter: if we offer a newsletter and you subscribe, your email address and a record of your consent.

Information collected automatically

  • Technical information: your IP address, used to protect our forms and sign in pages against abuse, and the browser and device information recorded with signed in sessions.
  • Cookies: a small number of essential cookies, described in Cookies.

Information from payment and delivery partners

  • From Razorpay, we receive payment confirmation details such as the payment reference, amount, status, the type of payment method used, and related transaction information.
  • From courier partners, we receive shipment and delivery status updates for your order.

04Payments through Razorpay

Online payments on this website are processed by Razorpay, a third party payment gateway. When you pay online, you enter your payment details in Razorpay's secure checkout, not on a form hosted by us.

We do not collect or store your card or banking credentials.

We never receive or store your full card number, CVV, card expiry date, UPI PIN, net banking password or one time passwords. These are handled by Razorpay and the banks and networks involved.

Razorpay processes payment information under its own terms and privacy policy, which you can read on the Razorpay website. We keep only the payment confirmation details we need to match payments to orders, issue refunds and meet our accounting obligations.

05How we use your information

We use personal information to:

  • process, confirm, pack, ship and deliver your orders;
  • take payments, verify them, and issue refunds;
  • send order confirmations, payment updates, dispatch and delivery notifications, and invoices;
  • manage your account and saved addresses;
  • respond to inquiries, prepare quotations and handle private label projects;
  • review damaged or missing item claims, cancellations and complaints;
  • keep the website secure, prevent fraud and abuse, and fix technical problems;
  • keep business, tax and accounting records required by law;
  • send marketing emails, only where you have subscribed.

We do not sell your personal information, and we do not use it for automated decisions that have legal or similarly significant effects on you.

07Cookies

This website uses only essential cookies that are needed for it to work:

  • Shopping cart cookie, which remembers the items in your cart for up to 60 days.
  • Sign in cookie, which keeps you signed in to your account. It expires when you sign out, or after the session period ends.

We do not currently use analytics, advertising or social media tracking cookies.

When you pay online, Razorpay's checkout may set its own cookies under Razorpay's policies. You can block or delete cookies in your browser settings, but the cart and sign in features will not work without them.

08Service providers

We use trusted service providers who process information on our behalf, only for the purposes described in this policy:

  • Razorpay, for processing online payments and refunds;
  • Courier and logistics partners, who receive your name, delivery address and mobile number to deliver your order;
  • Email delivery provider, which sends order and account emails on our behalf;
  • Cloud hosting, database and file storage providers, which host this website and store its data and any files uploaded to it.

Some of these providers may process information on servers located outside India. Where this happens, we rely on providers that apply appropriate security measures.

09When we share information

Apart from the service providers above, we share personal information only:

  • when required by law, a court order, or a request from a government or regulatory authority;
  • to protect our rights, our customers or the public, for example to prevent fraud;
  • with our professional advisers, such as accountants and lawyers, under a duty of confidentiality;
  • with your consent, or at your direction.

10Payment and order security

We take reasonable technical and organisational measures to protect personal information. These include:

  • verifying online payments on our server, so an order is marked as paid only after the payment is confirmed;
  • storing passwords only as one way hashes, and keeping sign in and cart cookies inaccessible to page scripts;
  • storing uploaded files in private storage, not on public links;
  • limiting access to customer and order information to staff who need it for their work, with activity recorded in an audit log.

11Storage and retention

We keep personal information only for as long as it is needed for the purposes in this policy:

  • order, invoice and payment records are kept for the period required under tax, accounting and other applicable laws;
  • account information is kept while your account is active, and for a reasonable period afterwards unless you ask us to delete it;
  • inquiries and messages are kept for as long as needed to respond and to maintain a record of our dealings with you;
  • claim photographs and related messages are kept until the claim is resolved and for a reasonable period afterwards in case of follow up.

When information is no longer needed, we delete it or make it anonymous.

12Your rights and choices

Subject to applicable law, you can ask us to:

  • tell you what personal information we hold about you and how we use it;
  • correct or update information that is inaccurate or incomplete;
  • delete your information, unless we must keep it for legal, tax or accounting reasons;
  • withdraw consent you have given, without affecting anything done before the withdrawal;
  • address a grievance about how we handle your information.

You can update your saved addresses directly in My account. For other requests, contact us using the details below. We may need to verify your identity before acting on a request.

13Marketing communications

We send marketing emails only if you have subscribed to receive them. Order, payment and delivery emails are part of providing our service and are sent whether or not you subscribe to marketing.

You can unsubscribe from marketing at any time by contacting us, and we will stop sending marketing messages to you.

14Children

This website is intended for adults. Orders must be placed by a person aged 18 or over, and we do not knowingly collect personal information from children. If you believe a child has given us personal information, please contact us and we will delete it.

15Security limitations

No website, internet transmission or storage system can be guaranteed to be completely secure. While we work to protect your information, we cannot guarantee absolute security. Please keep your account password confidential and tell us promptly if you suspect any unauthorised use of your account.

16Changes to this policy

We may update this policy when our practices, our service providers or the law change. The updated version is published on this page with a new effective date. Where a change is significant, we will take reasonable steps to let you know.

17Contact and grievances

For questions about this policy, or to exercise your rights, please contact us.
